Created and incorporated QR codes of client feedback survey to be included in all staff emails and in client spaces such as case management office, lobby, and Violet KeepSafe Storage 2. Restructured our Monthly Newly Housed Client Orientation to incorporate a survey portion as a new effort to obtain more client feedback Integrate technology for clients and client assistance Obtain laptops for our lobby and offer computer access for our clients 1. Laptops for Lobby - 2 laptops for client-use have been procured; 1 Laptop is active; 1 laptop is still being prepared by IT 2. Partnership with Texas Legal Services Center - Legal Kiosk Service at Mobile Court & lobby (TBD) 3. Partnership with Austin Economic Development - offers weekly on-site financial, technology, and professional development classes for our clients Continue to make client spaces more helpful, warm, and inviting Repair and maintain client spaces Identify ways to improve the lobby and VKS’s crowd management 1. Collaborated with Capital Metro- obtained pamphlets and maps for client distribution and lobby display 2. TV has been secured through Austin Municipal Court and will soon be mounted in the lobby 3. Personalization of the lobby to make it feel warmer and more inviting (some ideas: more Art from the Street, bookshelves, printed client testimonies, etc.) 5 Prototype 6 Goal 3 | Balance Wellness & Operations Primary Goals Objectives Progress/Update Team building across all Community Court units Employee work-life balance 1-on-1 meetings with Court Administrator for all new hires Continue annual luncheons with the Court Administrator Continue creating all-staff events Identify and create opportunities for better work-life balance for employees • • • • • • • • Court Administrator has met with all newly hired staff and interns for one-on-ones Lunch with Court Administrator occurred in April 2026 Continuing quarterly mid-day mixers for all units Annual Community Court Cookout- 7/21/2026 Annual Community Court Retreat- 9/1/2026 Court Clerks- Weekly telework day, with 1 clerk on a rotating Friday schedule Case Managers- maintaining 4x10hr work weeks and 2-2.5hr daily remote work opportunities Front Desk Staff- Clerks & Admin Assistant rotate lobby coverage to accommodate daily breaks and ensure continuous service access 7 Goal 4 | Training and Shadowing Primary Goals Objectives Progress/Update Identify all duties involved in new hire training and shadowing to standardize and integrate across all units. Identify a way to offer more cross training and shadowing among all groups Reach out to all units for onboarding, training, and shadowing duties • • Compile a list of duties all new hires in all units need to complete for training Create a menu of upcoming events, trainings, and opportunities for staff to improve new hire shadowing opportunities Collected Clinical and Court Units new-hire list of duties checklists Attended Violet KeepSafe Storage’s unit meeting and had staff create a list of duties they believe new hires should complete for training • Will attend Community Service unit’s team meeting to create a • • list of duties for new hires 3/4 new hire duties list have been collected Once all lists are created, the team will begin to develop more standardized lists that allow for easier cross-department shadowing opportunities 8 Goal 5 | Creation of Leadership Opportunities Goal Objective Update/Progress Identify opportunities for non-management staff to develop leadership experience and responsibilities Create trainer, mentor, and/or training specialist roles • New Quality Consultant position created for Clinical Team • Chad Hejl (CM)- promoted to Clinical Manager Supervisor for CDP team Identify opportunities for title changes tied to merit or responsibility • Giana Martinez (Mobile Court)- Promotion (title reclassification) from Administrative Support to Business Process Specialist Create community liaison and specialist roles • Rebecca Summers (CM)- New facilitator for the monthly Newly Housed Orientation • • Lizzie & Iris (CMs)- appointed case managers for our new partnership with Community 1st! Village Biannca Recoder (CM)- Primary case manager for intern supervision. 3 Interns within the past year and will be receiving 1 more this Fall 9 Goal 6 | Going Paperless Goals Objectives Update/Progress Digitize as much documentation as possible to lessen paper use Identify what can be converted into electronic documents and replace paper copy Converted primary Community Court documents to digital: • Court Services - disposition logs • Mobile Court - ROI and FIF forms • • • Violet KeepSafe Storage - Fully online incident report system Support Services - annual site-visit monitoring forms for partner agencies converted to fully digital process Homeless Services - final 2 filing cabinets of confidential files currently being converted by Administrative Assistants Community Court will be fully transitioned to an all-electronically stored files system by end of FY26 • Working with clinical team to identify what resources could be beneficial for clients if converted to QR codes (i.e., new Community Court Pamphlet, Triage Services, Meals, Food Pantries, etc.) Inclusive digital engagement with clients Identify and create QR codes or signage with frequently printed and distributed resources 10 Goal 7 | Mental Health Options for Clients Goals Expand onsite & referral clinical capacity Increase group-based support Objectives Update/Progress Continue to develop partnerships with current and new agencies to offer our clients Maintain our current services while Community Court continues to change and grow Identify opportunities for our staff and partner agencies to offer our clients more group services • • Community Court staff at VKS - Staff conducting weekly outreach at VKS, and will be bringing new Mobile Court CM once onboarded In-House Coordinated Assessments- due to recent staff change, Homeless Services team did not have an in-house Clinical Assessor for some time, but they are back to 1 with 2 in the process Community Court Group Service Schedule: - Mondays - NA/AA support group through Communities for Recovery - Mondays - Austin Economic Development skills building classes - 3rd Thursday - Newly Housed Client Orientation - 2 x Week - Onsite case management at Community First! Village - FY27- Interns will resume offering clinical groups for clients as a part of their internship requirements 11 Goal 8 | Administrative Support Primary Goals Objectives Update/Progress Identify, define, and monitor administrative and daily duties for all employees and interns Identify what tasks interns will be responsible for Improve walk-in services Restaff walk-in services More Scheduled Coverage 2 New Part-Time Admin Assistants: • • • • Allison & So Yong have taken lead in developing and monitoring the Admin Assistant roles and responsibilities to best serve Community Court operations Assist with client mail, scanning in confidential documents, front desk coverage, and creating “how-to” guides Triage Team- Projected to be fully staffed within the coming weeks New administrative support and court clerk rotating system allows for Front Desk Administrative Assistant to take daily breaks and time to complete indirect client facing admin duties 12 Questions?
